What is personal data?

Personal data means any information relating to an identified or identifiable natural person. For example, your name and address are personal data relating to you, as is information about purchases that can be linked to you.

An identifiable person is a person who can be identified directly or indirectly, in particular by reference to a name, personal identity code, location data, online identifier, or one or more factors specific to that person.

What information do we collect?

Päijän processes personal data in order to develop its operations and customer experience, process sales and orders of products and services, and provide customers with related information and services both in-store and through digital channels.

We collect personal data directly from you when you purchase our products or services through one of our sales channels. For example, during a purchase transaction, we collect the customer’s name and address details so that we can deliver the purchases to the correct address.

Customer master data may include:

  • First and last name
  • Address details and necessary contact information, such as telephone number and email address
  • Title or occupation, interests, hobbies and other similar information
  • Marketing consent and opt-out information
  • Name of a company or other organisation, including its contact person and necessary identification and address details

Customer relationship, service and communications data:

We collect information necessary for managing the customer relationship, such as transaction, order, product, purchase, price, benefit, offer, delivery, invoicing, debt collection, satisfaction and complaint data.

We also collect data about communications and about the use of and interaction with services, content and marketing across different services and channels.

We may collect personal data through cookies in Päijän’s digital services. We use cookies to ensure the functionality of our digital services and for analytics, personalisation and marketing purposes.

For what purposes and how do we use the data?

Päijän uses personal data to provide you with services and products that may be of interest to you. We must be able to contact you using your contact details if additional information is required for purchasing or delivering our products. We may store your contact details, order information and information about service events related to your customer relationship in order to provide you with service suited to your needs.

Päijän endeavours to develop and maintain the personal data related to its operations with due care. Personal data is processed using statistical and other methods. The aim is to target content and activities so that they are as relevant as possible to customers and provide a better customer experience. Related processing purposes include business planning, development and monitoring; managing customer relationships and transactions through different channels; continuous analysis; and targeted service, communications, marketing, customer satisfaction surveys and other similar measures. When you register for our events, we process participant lists in order to provide the best possible service. The same applies to competitions and prize draws organised for marketing purposes.

On the basis of our legitimate interests, we use the contact details you provide for customer communications and collect customer feedback through customer satisfaction surveys in order to develop our products and services. We may also use personal, contact and purchase information as part of our service to provide you with better customer service. In connection with your purchase, we may also send you emails about other services and products that may be of interest to you.

We also invite customers to participate in our customer communities. We may contact selected or limited groups of customers to test new products and services.

Päijän processes information about the stages of your purchase transaction when handling customer feedback and compensation claims. This enables us to ensure that all cases are handled appropriately and that we understand what has happened. Your data is also used to process refunds and compensation claims promptly.

We aim to continuously improve your customer experience and make our services more current and relevant. We may therefore provide personalised services by segmenting customers. This enables us to offer, for example, additional services and products that may interest you through our digital channels.

To the extent required for conducting business, we process information about the contact persons of our subcontractors, partners and suppliers, including their contact details and other information necessary for managing business relationships.

How do we store and protect the data?

The data is protected by access controls, software-based safeguards, firewalls, passwords and other technical measures. Only designated employees of Päijän and of companies acting on Päijän’s behalf and for its account have the right to use the customer relationship management system. The system has different user-access levels, meaning that users are granted administrative or viewing rights only to the data necessary for their work. Each user has an individual username and password, which are required when signing in. Rights to process data are granted on a limited and controlled basis according to work duties. Users are bound by confidentiality obligations.

To whom do we transfer personal data?

Data may be disclosed to competent authorities, for example for the purpose of investigating misuse.

For the technical, commercial or operational implementation of personal data processing tasks, Päijän uses subcontractors acting on its behalf, such as financial institutions for invoicing. Päijän has valid data-processing agreements with its partners and subcontractors in accordance with the General Data Protection Regulation. The partners do not transfer personal data to third parties.

Only with the customer’s consent may data be transferred to Päijän’s partners or subcontractors for direct marketing purposes within the limits of applicable personal data legislation.

Data may be transferred outside the EU and the European Economic Area in accordance with applicable legislation if this is necessary for the technical implementation of Päijän’s services. Partners outside the EU are required to comply with the applicable data protection requirements governing such transfers.

How long is the data retained?

Customer data may be retained for a maximum of five years. Accounting legislation also requires us to keep records of our business activities and retain accounting materials for the period specified by law. We do not retain data that we no longer need.

What requests can you make concerning your data?

You can exercise your rights as a data subject by contacting us at info@paijanboats.com or Päijän Vene Ky, Koneharjunkatu 1, FI-15850 Lahti, Finland.

The request must be made personally in writing and signed.

Access to personal data

Once a year, you have the right to check free of charge what information about you has been stored in Päijän’s register. You have the right to request a copy of your personal data by contacting info@paijanboats.com. We will provide the information unless we have a lawful reason not to disclose it or disclosure would seriously infringe your rights or the rights of others.

Rectification of personal data

You have the right to rectify or update inaccurate or incomplete personal data concerning you. You may submit a rectification request to info@paijanboats.com.

Erasure of personal data

In certain circumstances, you have the right to request that we erase your personal data from our systems, for example when the data is no longer needed for the purposes for which it was collected, or when the processing was based solely on your consent and you have withdrawn that consent. We will erase your personal data without undue delay unless we have a lawful basis for continuing to process it under data protection legislation.

Data portability

You have the right to receive the data you have provided to us in a commonly used electronic file format and to transmit that data independently to a third party.

Automated decision-making

No automated decisions are made concerning the data subject.

Right to object to processing

We may process your personal data on the basis of our legitimate interests as part of our business activities after assessing that the processing does not infringe the protection of your personal data. In such circumstances, you have the right, on grounds relating to your particular situation, to request that we restrict the processing of your personal data while your request for erasure or restriction is being considered.

You have the right at any time to prohibit us from using your data for direct marketing or profiling related to direct marketing. You can unsubscribe from marketing messages by using the “unsubscribe” link in the newsletter.

Restriction of processing

You have the right to restrict the processing of your personal data. When processing is restricted, Päijän will generally not process your data other than by storing it. You have this right, for example, when you contest the accuracy of your personal data, when the processing is unlawful or when you have objected to the processing of your personal data and are awaiting a response to that request.

If you believe that we have not processed your personal data properly, you may contact the competent data protection authority and lodge a complaint.
